Privacy Policy

What Veteranos is

Veteranos (veteranos.club) is a private, invite-only app that a group of friends uses to organize its football matches: who plays, who is on the waitlist, how teams are drawn and who still owes their share of the pitch rental. It is free, shows no ads and sells nothing. Accounts can only be created with an invitation from the club.

Data we store

We store only what the club needs to organize matches:

  • Account: e-mail address and a salted password hash (we never store your password in plain text).
  • Profile: first and last name, optional nickname, optional phone number, optional PayPal name/link (shown to teammates so they can reimburse you), optional avatar photo, favorite club.
  • Match participation: your sign-ups, declines, waitlist entries, drawn teams, substitutions and when you last played.
  • Payment status: whether a replacement player has reimbursed a subscriber for a match. No money flows through the app — paying happens directly between players (e.g. via PayPal).
  • Team drawing data: skill ratings (e.g. speed, defense) and short organizational notes that admins maintain so the app can draw balanced teams. Visible to admins.
  • Presence: the time of your last login and when the app last saw you active. Club admins can see this.
  • Push subscriptions: if you enable notifications, the technical subscription endpoint of your browser or device.

We do not use analytics, tracking pixels, advertising IDs or any form of profiling. The only cookie is the session cookie that keeps you logged in (30 days, httpOnly).

What we use it for

Everything above is used solely to run the club's match organization: showing who is in or out, drawing fair teams, rotating the waitlist, tracking open reimbursements and sending match notifications you opted into. The legal basis is the agreement with you to provide this service (Art. 6(1)(b) GDPR) and the club's legitimate interest in organizing its matches (Art. 6(1)(f) GDPR).

Who can see your data

Only logged-in club members can see the app's content — names, avatars, sign-ups and payment status are visible to other members because that is the point of the app. Club admins additionally see contact details, presence and management views. Nothing is public, and we never sell or share data with third parties for their own purposes.

Hosting and third-party services

  • Hosting: the app and its database run on Railway (Railway Corp., USA). Transfers are covered by the EU Standard Contractual Clauses.
  • Push notifications:delivered through your platform's push service (e.g. Apple or Google). The messages contain match information only.
  • Weather and rain radar: the dashboard loads map tiles and weather data from OpenStreetMap, RainViewer and Open-Meteo. When the widget is shown, your browser contacts these services directly and they see your IP address.
  • Password-reset e-mails: sent via the e-mail provider configured by the operator (currently Resend).
  • WhatsApp and PayPal links: the app only opens links to these services when you tap them; no data is sent to them in the background.

How long we keep data

Your data is kept for as long as you have an account. Match history (sign-ups, teams, payment records) is kept so the club can look up past matches and keep the waitlist rotation fair. If you delete your account, your profile, avatar and participation records are removed.

Deleting your account

You can delete your account yourself at any time: open Profile → Danger zone → Delete account. This permanently removes your account, profile, avatar, sign-ups and waitlist entries. If anything goes wrong, contact an admin and they will delete it for you.

Your rights

Under the GDPR you can request access to, correction of, or deletion of your data, ask for it in a portable format, restrict or object to its processing, and lodge a complaint with a supervisory authority. Most of it you can do directly in the app (edit your profile, delete your account); for everything else, contact the operator.
